Admin Help - How to upload artists' images for them

Every year artists tell us that they can't upload images. As 90% of artists manage to do it without difficulty then in general the system works.

It is possible that in a particular artist's case, the system is not configured correctly for them. We need to give artists permissions to upload images and it is possible that they have not been given these permissions for some reason. Most likely is late entry.

Usually when artists complain about not being able to upload images or not getting emails or links don't work it is because they did not login correctly. Sometimes artists have forgotten their user name and have created another account with the same email address and they are logging in as the incorrect instance of themselves.

How to solve this.

  • The first quick check is "Is the image in the correct format i.e.jpg, and is it within the permitted sizes?"
  • Next check that our side of things is correct
    • Go to http://www.stroudvalleysartspace.org.uk/search/user/
    • Type the artists email address into the search box and click the Search button.
    • When search is completed, click the link to the artist's 'Account' page.
    • Click the 'Edit' tab
    • Make sure that the 'Status' is 'Active' and that the 'Roles' box is ticked for the correct group. i.e. Open Studios (current year). Authenticated User should be ticked but grey.
  • If the above are correct, the problem is with the artist.

How to fix it for them.

  • Click on the 'View' tab at the top of the page to go back to their 'Account' info
  • You should see a blue link 'Masquerade as (artists name)'
  • Click this link
  • You have now stopped being an administrator and are logged in as the artist.
    • Click the link in the left sidebar 'Upload Image' or similar.
    • This will take you to their upload page.
    • Follow instructions and upload the image file.
    • When uploaded you will see a thumbnail. Click the 'Save' button.
  • You now have to resume your own role so go to http://www.stroudvalleysartspace.org.uk/logout and , surprisingly, logout
  • Log back in again as yourself.
